Free Negative Review Response Generator

Enter the review, the concern in your words, what happened, and what you can offer. The page writes a short public reply and, when it fits, a private follow-up. Nothing is uploaded.

This is not legal advice. The reply does not admit legal liability, does not promise that a review will be removed, and does not threaten the reviewer. It uses only what you type.

The record

What the reply covers

The situationA legit complaint, a partly fair review, no record of the customer, a review that breaks platform rules, or an abusive or threatening post. The page changes the reply to match. It does not add facts.
A short public replyCalm prose for the review page. It uses the business, the reviewer name as written, the concern in your words, the offer you chose, and how to reach you. It does not repeat the review.
A private follow-upFor a real complaint, a partly fair review, or a customer you cannot match, the page also writes a message you can send directly. Abusive posts and rule breaking posts do not get one.
Private details stay off the public replyOrder details, a street address, a phone number, or an email from the review or from your notes are left out of the public reply.
A note for youWhen you have no record, or the review may break platform rules, a short note points at the platform report or flag option. That note is not part of the reply.

Before you use it

Mistakes to avoid

1. Arguing the review in publicFuture customers read the reply. State a next step. Do not relitigate the complaint under the review.
2. Posting private or order detailsLeave the account number, the address, and the order out of the public reply. Put the useful part in the private message.
3. Promising removalDo not say the review will come down, and do not offer money or a redo in exchange for a change. A report is a request, not a result.
4. A threat or a legal admissionDo not threaten the reviewer, and do not write that the business is legally liable. Sorry for what went wrong is not the same as accepting a claim.

Where the reply goes

Paste the public reply on the review. Send the private message only to the reviewer, through the contact method you already use. The note for you stays on this page. This page does not post the reply for you.

Google's help page says you can report a review that violates its policies, and that only those reviews are eligible for removal. Do not report a review only because you disagree with it. Report inappropriate reviews on your Business Profile.

Google's content policy says a review should reflect a genuine experience, and that content based on a conflict of interest is not allowed. Prohibited and restricted content.

FAQ

Questions about a negative review response

What does this negative review response generator write?

A short public reply, and a private follow-up when the situation calls for one. You choose the platform, the star rating, the offer, and the situation. Nothing is uploaded.

Will the reply promise to remove the review?

No. The public reply does not promise removal, and it does not ask the reviewer to change or delete the review in exchange for a call, a redo, or a refund.

What if the review is 4 or 5 stars but still a complaint?

The page still writes a reply. A 4 or 5 star review is thanked, and the concern is addressed. It is not treated as pure praise, and it is not treated as a terrible experience.

What stays out of the public reply?

The review text itself. The public reply uses the short concern you type, such as a missed appointment, and does not repeat the review. Order details, a street address, a phone number, and an email in that concern are left out. Your account of what happened stays in the private message. The public reply does not argue, threaten, or admit legal liability.

When is there a note for me, and when is there a private message?

A private message is included for a legit complaint, a partly fair review, and a review you cannot match to a customer. It is left out for an abusive post and for a review that may break platform rules. Those two also get a note for you about the platform report or flag option. For Google, that note follows Google's own help pages, which are linked on this page. The note is not part of the reply.

What does the paid kit add that this page does not?

The Bad Google Review Response + Recovery Guide is $39. It adds response scripts, a triage path, private follow-up wording, and an evidence log. This page is one free reply. It is not legal advice.
